Software from a desk that rents cars by the month.

RentDesk was written to run one long-term rental brokerage in Florida. It still does, every day. This page is about why it exists, what it does, and the few rules it is built on.

The price of a month moves every day.

A long-term rental is priced by the pickup day, the brand, the branch, the rental length and whichever corporate or travel-agent rate applies. Across 10 brands and about 12,000 US branches, the same car can cost $567 a month at one branch and several times that across town.

Rental websites are built for weekend trips. Finding the cheapest month on them means checking brand after brand, branch after branch, day after day. Then starting again tomorrow, because the prices moved overnight.

And once the price is found, the trade runs on spreadsheets: the quote, the client's details, the reservation, who paid, who is owed commission, which client card is about to be charged.

One pickup day, one city. This list is only true for the day it was searched; tomorrow's order can be different.

It began as the internal system of a Florida long-term car-rental brokerage.

Nothing in RentDesk was planned on a whiteboard for a market. Every feature exists because that desk needed it on a working day: the calendar because the pickup day changes the price, the map because the cheaper branch is often across town, the card alerts because a client card was about to be charged, the commission splits because partners need to be paid correctly.

It still runs that desk every day. When something breaks or slows down, the people who use it most notice first, and it gets fixed.

Now the same software is offered to other brokers, travel agents and corporate desks, each on an account of its own.

What RentDesk does about it.

The checking is done for you. The business after the price lives in the same account.

  • Searches done for you

Daily searches across Avis, Budget, Payless, Hertz, Dollar, Thrifty, Sixt, Enterprise, National and Alamo, for long rental lengths, with corporate and Sixt travel-agent rates where the account has them. 12,388 branches are priced today.

  • The price calendar and the map

The cheapest verified monthly price for every pickup day, per car, per category and per state. Pick a day to see every branch priced that day, cheapest first, or see every branch on a map with its cheapest month.

  • Alerts

Prices far below the usual for that car and branch are flagged. After each search run, an email lists the new and cheaper finds per brand, filtered to each person's own car picks.

  • The business after the price

Clients and quotes, reservations and confirmation emails in your own name, booking automation on Hertz and Sixt, and the money: payments, commission splits, settle-up between partners and client-funded card desks.

  • Your own company codes

Each account checks out and books with its own rental-company codes. Prices come from a shared search engine; contracts, codes and clients do not.

Where it is going.

A long-term rental should be priced and booked with the same confidence as a flight: every day's price visible before anyone commits, the reservation confirmed with a number, and the paperwork done once instead of three times. That is the work in front of us. More of the market searched, more of the booking handled, fewer spreadsheets.

What it is built on.

  1. Real prices only

Every price comes from a search of the rental company itself. No estimates, no averages dressed up as quotes. If a day has no price, the calendar says so.

  2. Your contracts stay yours

Your corporate and travel-agent codes are used for your account and nobody else's. We never lend one account's rates to another.

  3. Built from the desk out

A feature earns its place when a working desk needs it. That is how the calendar, the card alerts and the commission splits got here, and how the next things will.

  4. One account per business, with its own data

Each business gets its own database. Your clients, reservations and payments are never mixed with another account's.

  5. Plain language

Screens, emails and quotes say what they mean: the brand, the branch, the day and the price. The same goes for our terms and for this page.
